Privacy Policy
This Privacy Policy explains what information www.themortgageroom.ca collects when you use this website, why it is collected, how it is used, and the choices you have. The Mortgage Room is a personal lead-capture brand operated by Raymond. F, Mortgage agent (Level 1), FSRA Lic. M26000144, with Centum Financial Services Limited Partnership, FSRA Brokerage Lic. 13054. This website serves Ontario residents and is intended for general information and initial inquiry only.
1.What information is collected
When you fill out the intake form on this website, you may provide the following:
- Your name
- Your email address
- Your phone number
- A general description of your mortgage situation (for example, renewal, refinance, self-employed income, a prior decline, or debt you want to consolidate)
- Your general location or province
- Any other details you choose to type into the optional notes field
If you book a call, the booking tool may also collect the information needed to schedule and confirm your appointment, such as your name, email, phone number, and chosen time.
This website may also automatically receive limited technical information that is standard for most websites, such as your browser type and general usage data, through the website host. This website does not currently use the Meta Pixel. See the section on cookies and advertising measurement.
Please do not submit sensitive information through this website. The public intake form is not designed to collect your Social Insurance Number (SIN), banking login credentials, document uploads, full financial records, or mortgage application paperwork. Please do not enter any of these into the form or the notes field. If sensitive documents are needed at a later stage, they are collected only through the approved brokerage application process, not through this website.
2.Why this information is collected
Information is collected so that Raymond. F can understand your situation at a high level, prepare for a useful first conversation, respond to your inquiry, and schedule a call if you choose to book one. The goal at this stage is to learn enough context to have an informed conversation, not to assess or process a formal mortgage application.
3.How your information is used
Your information is used to:
- Respond to your inquiry and follow up with you
- Prepare for and schedule a phone or video conversation
- Organize and track your inquiry internally so that nothing is missed
- Communicate with you about your inquiry by phone or email, using the contact details and preferences you provided
Your information is not sold. It is not rented. It is not used for unrelated marketing by third parties.
4.Third-party tools that may process your information
To run this website and manage inquiries, a small number of third-party service providers may process the information you submit. Providers also have their own privacy and security practices. The Mortgage Room remains responsible for its handling of personal information and appropriate oversight of its service providers. The current tools are:
- Tally. Receives and stores the answers you type into the intake form, including your name, email, phone number and the details you give about your situation.
- Calendly. Receives the name, email, phone number and time slot you provide when you book a call. On the thank-you page the calendar is not loaded until you press "Book a call"; pressing it makes your browser request the calendar from Calendly, which receives your IP address and browser information at that point.
- Make.com. Receives submissions from the website intake form in transit and passes them into the lead-tracking system.
- Zoho CRM. Receives and stores your enquiry record, including your contact details, the details you shared and any notes added during follow-up.
- Google Workspace. Receives the content of any email you exchange with Raymond. F, and hosts the mailbox for The Mortgage Room.
- Google Fonts. Receives your IP address and browser information when your browser requests the fonts used on these pages.
- GitHub Pages. Hosts this website and receives the standard technical request information that any web host receives, such as your IP address and browser type.
- Vercel, Supabase and Anthropic. Together they run the website chat: Vercel receives and serves the chat requests, Anthropic receives the message text in order to generate a reply, and Supabase stores the conversation. See the section on website chat.
- Meta Platforms, Inc. and its affiliates. Receives the information you type into a Facebook or Instagram lead form, and keeps a copy under its own terms. The Meta Pixel is not currently in use on this website, so this website sends no Pixel events from your visits. See the section on cookies and advertising measurement.
These providers may store data on servers located inside or outside of Canada. When information is stored or processed outside of Canada, it may be subject to the laws of the country where it is held.
5.Cookies, advertising measurement and social media lead forms
Campaign attribution. When you arrive on the self-employed landing page or the thank-you page from a link that carries campaign parameters, this website reads those parameters from the address bar, which may include utm_source, utm_medium, utm_campaign, utm_content, utm_term and Facebook's fbclid, and stores them in your browser's session storage along with a randomly generated session token. Those values, the token included, are then appended to the intake form and booking links. The token does not contain personal information on its own; once it is submitted with a form or booking it acts as a pseudonymous identifier that lets the enquiry be attributed to the campaign it came from. This is campaign attribution, separate from the Meta Pixel: nothing is sent to Meta by it, and everything it stores is cleared when you close the browser tab. If you would rather it did not happen, remove the parameters from the address before loading the page, or use a browser that blocks site storage.
The Meta Pixel is not currently in use. The Meta Pixel is a small piece of code from Meta Platforms, Inc. that uses cookies and similar identifiers to measure how ads perform. This website contains the code needed to run it, but it is switched off: it is not loaded on any page, no information is sent to Meta by it, no Meta cookie is set by it, and no advertising notice is shown. If it is switched on in future, this policy will be updated before that happens to describe exactly which pages it runs on, what it sends and how to decline, and it will load only after you accept a notice on those pages.
Your choices. You can control cookies generally through your browser settings, and you can review and change how Meta uses your information for ads in your Facebook or Instagram ad settings.
The calendar on the thank-you page. The Calendly booking calendar is not part of the page until you ask for it. Nothing is requested from calendly.com, and no Calendly cookie can be set, until you press "Book a call". If you never press it, Calendly receives nothing.
What this website stores in your browser. Alongside the campaign attribution values described above, this website keeps a small number of named values in your browser. Two further values, fc_consent and fc_sent_*, belong to the Meta Pixel and are written only when it is switched on; because it is currently off, they are not written. fc_greeted is written by the chat, so it appears only on the pages where the chat runs and not on the self-employed landing page or the thank-you page; it records that the chat greeting has been shown and is held for the browser session. fc_attr, the campaign attribution bundle, and fc_tok, the randomly generated session token, are held in session storage and are cleared when you close the tab. None of these values contain your name or your contact details.
Facebook and Instagram lead forms. If you submit an enquiry inside Facebook or Instagram, Meta receives the information you provide and keeps a copy under its own terms. The Mortgage Room uses the enquiry details to respond and organize follow-up. Automated delivery of new Meta lead forms to the enquiry-management system is not currently active.
How long information is kept.
- Enquiry records are kept for up to 24 months after the last contact with you.
- If a mortgage application proceeds, the brokerage and regulatory record-keeping rules apply instead, and the records are kept for the period those rules require, currently 6 years.
- Chat transcripts are kept until they are deleted on request. A scheduled deletion after 90 days will replace that once it is implemented, and this policy will be updated when it is.
- Campaign attribution values and the session token are held in your browser's session storage only and are cleared when you close the tab.
- Information you submit through a Facebook or Instagram lead form is also kept by Meta according to Meta's own retention practices.
Consent and marketing messages. The consent you give when you submit an enquiry covers contact about that enquiry only. It is not consent to receive marketing. If The Mortgage Room ever wants to send you marketing messages, that requires a separate opt-in from you, and every such message will identify the sender and include a way to unsubscribe.
6.Website chat
Some pages on this website offer a chat window. It is a convenience tool for general questions, not a secure channel and not a place to apply for a mortgage.
Please do not enter a Social Insurance Number, account numbers, identification numbers, or documents into the chat. If sensitive information is needed later, it is collected only through the brokerage's approved application process.
What happens to a chat message: the message is sent to The Mortgage Room chat service hosted on Vercel. It is processed by Anthropic's Claude model in order to generate a reply. The message and the reply are stored in a Supabase database. Raymond. F can read the stored conversations. Replies are generated by software and are general information only, not mortgage advice.
There is no automatic deletion schedule for chat transcripts yet, so messages are kept until they are deleted on request. A 90 day deletion routine is planned. To request deletion of a chat conversation, email raymond@themortgageroom.ca and describe roughly when the chat took place, so the conversation can be found and removed.
7.When information may be shared with the brokerage
The Mortgage Room is a personal brand operated through Centum Financial Services Limited Partnership, FSRA Brokerage Lic. 13054. If, after speaking with Raymond. F, you choose to move forward with a mortgage inquiry or application, your information may be shared with the brokerage and used within the brokerage's approved application process. This happens only when you decide to proceed. Sharing with lenders, insurers, or other parties involved in a mortgage transaction is handled through that approved brokerage process and is governed by the disclosures and consents you receive at that stage.
8.This website does not provide mortgage advice or lending decisions
The content on this website is general information only. It does not constitute mortgage advice, a recommendation, an offer to lend, a pre-approval, or a lending decision. Submitting the intake form does not create a client relationship and does not guarantee any outcome. Any mortgage advice or decision happens only through a proper review within the approved brokerage process and is subject to lender approval.
9.What you should not submit through this website
To protect your privacy, please do not submit any of the following through the public intake form, the notes field, the chat window, or general email:
- Your Social Insurance Number (SIN)
- Banking login credentials or passwords
- Uploaded documents or scans
- Full financial records or statements
- Completed mortgage application paperwork
If any of this information is needed later, it is requested and collected only through the brokerage's secure and approved application process.
10.Access, correction, and deletion
You may ask what personal information has been collected about you, ask for corrections if something is inaccurate, or ask for your information to be deleted, where applicable. Some information may need to be retained to meet legal, regulatory, or record-keeping obligations that apply to licensed mortgage professionals in Ontario. To make a request, use the contact details below. A reasonable effort will be made to respond within a reasonable timeframe.
11.Data security
Reasonable care is taken to limit the information collected through this website and to work with established service providers. However, no website or method of electronic transmission or storage can be guaranteed to be fully secure. You share information through this website at your own discretion, and you are encouraged to avoid sending sensitive information through the public form or the chat window, as described above.
12.Changes to this policy
This policy may be updated from time to time, for example if tools change or new tools are added. The "Last updated" date at the top will reflect the most recent version. Material changes to purposes or processing will be explained and any required consent obtained. Browsing alone is not treated as consent to a new purpose.
